We will send you email updates and marketing communications about our work, events, fundraising and campaigns where you have told us that you are happy to receive them through your preferred channel(s), for example email or telephone. Where the law allows, we may also send you electronic communications about our work if you have expressed an interest in, or offered support to, our charitable purposes, for example by donating, volunteering or actively engaging with us, and you did not opt out at the time. You can opt out of these communications at any time, including through an unsubscribe link in every message.

In this notice, “NIF”, “we”, “us” and “our” refer to New Israel Fund in the UK.

We will process personal data in accordance with this privacy notice and applicable law.

Depending on the circumstances, we process personal data on the basis of consent, our legitimate interests, the performance of a contract or steps taken at your request before entering into a contract, compliance with a legal obligation, or another lawful basis permitted by law. Where we rely on consent, you may withdraw it at any time, although this will not affect the lawfulness of processing carried out before consent was withdrawn.

When we collect personal data and what we collect

We collect only personal data that is relevant to our relationship with you and reasonably necessary for NIF to pursue its charitable objectives and run our organisation responsibly.

1. a) When you give it to us directly

We may ask for personal information about you, including your name, date of birth, email address, postal address, telephone number and demographic information such as ethnicity and gender. This may happen when you make a donation, register for an event, volunteer, apply to work with us or ask about our activities. We may also collect donor and volunteer records and preferences, including, where necessary, bank or payment details to process payments and information about your tax status for the collection of Gift Aid.

1. b) When you give it to us indirectly

We may receive your information from fundraising platforms, event organisers, payment providers or other organisations where you have asked them or permitted them to share it with us. Those organisations will have their own privacy information explaining how they use and share your personal data.

1. c) When you use our website or digital services

When you visit our website, we may collect technical information about your device and how you use the website, including through cookies and similar technologies. We use this information to operate and secure the website, understand how it is used and improve our online services.

Some cookies are necessary for the website to function. Where required by law, we will ask for your consent before using non-essential cookies. You can manage your cookie preferences through the options available on our website or through your browser settings.

1. d) When it is publicly available

We may collect information that is publicly available, including information published by Companies House, the Electoral Register, media publications and other publicly accessible sources.

Wealth screening and prospect research

To use our resources effectively and build appropriate relationships with our supporters, we may carry out wealth screening and prospect research for people who are already connected with NIF or who may wish to support our work. We may work with trusted third-party providers to obtain and analyse information from publicly available sources, such as Companies House records, the Electoral Register, media publications and other publicly accessible databases.

We use this information to help us understand whether and how someone may wish to support our work, tailor our fundraising approach appropriately and allocate our fundraising resources responsibly. We rely on our legitimate interests in carrying out proportionate fundraising research and developing relationships with current and prospective supporters.

You may object to the use of your personal data for wealth screening at any time. You may also ask us for details of the information we hold about you, request that inaccurate information is corrected, or ask us to restrict or stop this processing. In some circumstances, you may also ask us to delete your information, although this right is not absolute. Special category data

Some of the information we process may be considered special category data under data protection law, for example information about racial or ethnic origin, political opinions, religious or philosophical beliefs, health or accessibility requirements. This may include accessibility information you share with us when attending an event. We will only collect or use this information where it is necessary and where we have an additional legal condition allowing us to do so. We take additional care to protect this information.

How NIF uses your personal data

We may use personal data to:

• process and administer donations, including Gift Aid;
• communicate with supporters and respond to enquiries;
• provide information about our work, fundraising and events;
• organise events and manage attendance;
• maintain relationships with supporters, volunteers, partners and organisations we fund or work with;
• carry out proportionate fundraising research and wealth screening to help us understand and develop relationships with current and prospective supporters;
• comply with our legal, regulatory, financial and safeguarding obligations;
• administer our organisation and improve our services, communications and website;
• prevent fraud, misuse and security incidents; and
• carry out other activities that are reasonably necessary to advance our charitable purposes.

Use of digital and artificial intelligence tools

We may use approved digital and artificial intelligence tools to help us work more efficiently and communicate responsibly. Where these tools process personal data, we will use them only for lawful and legitimate organisational purposes and will take appropriate steps to protect the information, including limiting the personal data used to what is necessary and applying appropriate security and access controls. Outputs will be subject to appropriate human review, and we do not use solely automated decision-making to make decisions that have legal or similarly significant effects on individuals.

Sharing personal data

We do not sell personal data. We may share personal data with trusted service providers and professional advisers who support our work, with partner organisations where this is necessary for our charitable activities, and with regulators or public authorities where required by law. This may include providers of payment, banking, database, email, IT, event, mailing, professional advisory and other organisational services. We require organisations processing data on our behalf to protect it and use it only for the agreed purposes.

Donations to organisations in Israel and international transfers

Where you ask us to direct a donation to an organisation in Israel, we may share relevant personal information with New Israel Fund in Israel so that the donation can be administered and distributed to the intended organisation. We share only the information reasonably necessary for this purpose and use secure, access-controlled systems to transfer and make the information available. We may also use service providers or partner organisations located outside the UK. Where personal data is transferred internationally, we take appropriate steps to protect it and ensure that the transfer is permitted under UK data protection law, including by relying on applicable adequacy regulations or other approved safeguards.

How long we retain personal data

We retain personal data only for as long as reasonably necessary for the purposes for which it was collected, including to meet legal, financial, regulatory and reporting requirements and to maintain an appropriate record of our relationship with you.

Where a supporter has not engaged with NIF for a period of time, we may mark their record as inactive and stop using it for communications and fundraising activities. We may retain limited historical information where this is necessary to comply with our obligations, respect communication preferences, maintain accurate records and appropriately manage any future relationship with the supporter.

We periodically review the personal data we hold and take appropriate steps where information is no longer needed. This may include restricting use, marking records as inactive, securely deleting information, or retaining limited information where we have a lawful reason to do so. You may ask us to delete your personal data in certain circumstances. The right to deletion is not absolute, and we may retain information where we have a legal or regulatory obligation, or another lawful reason, to do so.

Your rights in relation to your personal data

Depending on the circumstances, you may have the right to:

• request access to the personal data we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to delete your personal data;
• ask us to restrict the way we use your personal data;
• object to certain uses of your personal data, including processing based on our legitimate interests and direct marketing;
• request the transfer of your personal data to you or another organisation, where applicable;
• withdraw your consent at any time where we rely on consent; and
• ask for human intervention where a decision with legal or similarly significant effects has been made solely by automated means.

We may charge a reasonable fee, or decline to act on a request, where permitted by law, including where a request is manifestly unfounded or excessive.
